About the Role
We are seeking a highly organized and proactive Executive & Operations Administrator to support our COO and the wider executive team who oversees daily business operations. The ideal candidate is a hard-working and results-driven professional with a great attitude and an ability to learn and grow. The Candidate will work on detailed projects within our Business Operations team supporting a suite of national mitigation and reconstruction entities. We have over 100 locations in 25 states and are growing fast. This role plays a crucial part in ensuring efficiency, compliance, and financial oversight across multiple areas of the business. The ideal candidate possesses strong technical skills, extreme proficiency in MS Office, especially Excel/Google Sheets, exceptional attention to detail, and thrives in a fast-paced, dynamic environment.
Key Responsibilities

Executive Admin Support: Candidate will report directly to and work closely with the Chief Operating Officer at his home in Kaysville, UT to handle a wide variety of challenges and will:
- Support the COO by meeting frequently in person at the COO’s home to coordinate tasks and projects, in addition to working from their home. The ideal Candidate will live within 30 minutes of Kaysville.
- Oversee daily business operations, ensuring efficiency and compliance with company policies.
- Maintain and update company databases, financial records, and customer relationship management systems.
- Prepare reports, presentations, and documentation for executive review.

Fleet Management: Candidate will oversee many aspects of our nationwide fleet of vehicles including:
- Managing payments and payment schedules
- Maintaining a tidy vehicle asset list
- Ensure vehicle maintenance intervals are tracked and up to date
- Ensure cost-effective and efficient fleet operations using Whiparound.
- Track incidents involving our vehicles and work with insurance carriers, drivers, and managers.
- Coordinate registration and the distribution of plates

Insurance Coverage: Candidate will oversee aspects of insurance across the organization including:
- Track/Manage insurance policies for company assets, operational risks, and business continuity.
- Maintain the process of responding to requests for information from our employees regarding insurance coverage on their companies, vehicles, etc.
- May handle negotiations, policy adjustments and billing

Banking Efforts: Working with the financial team, the Candidate will:
- Coordinate financial transactions related to operations
- Manage vendor payments
- Manage intercompany transactions
Required Qualifications & Skills
- Strong work ethic and not afraid to work until the project is done

- Utilize Excel/Google Sheets to track, analyze, and optimize key operational metrics
- Excellent communication and the ability to thrive in a fast-paced, dynamic environment while managing multiple priorities
- Exceptional attention to detail to ensure accuracy across financial and operational processes
- Proven problem-solving and analytical skills with a focus on operational optimization
- Foster a culture of operational excellence and continuous improvement within the organization
Preferred Qualifications
- 2+ years of experience using spreadsheets to track multiple streams of data
- Tech-savvy individual with a high degree of comfort using a variety of Saas products
